We bill after each session. If you are using insurance, we first submit the claim to your insurance company. Once the claim is processed, we will charge the credit card on file for any copay, coinsurance, or deductible due. If you are self-pay, payment will be collected from the card on file on the day of your appointment.
Q: Why don’t I get billed right after my appointment if I use insurance?
Insurance companies take time to process claims and determine your portion of the bill. This ensures that we charge you the correct amount, rather than collecting an estimate upfront.
Q: Why is there a charge on my card if I didn’t have a session that day?
Insurance processing timelines vary, and it can take anywhere from a few days to a few weeks after your session for your claim to be finalized. Additionally, if your card was declined on a prior attempt, the system may retry the payment on a later date.
Q: How will I know what I owe?
You can log in to your client portal at any time to view bills/statements and see details of payments made.
Q: What forms of payment do you accept?
We accept major credit/debit cards, HSA/FSA cards, and cash. Please note that some banks have limits or restrictions on HSA/FSA cards; if a transaction is declined, you may need to contact your bank for clarification. If you choose to pay in cash, please bring the exact amount.
Q: Can I keep a card on file?
Yes. For your convenience, you may securely store a card on file. The system will automatically charge the card once your balance is determined.
Q: What if my card is declined?
If a payment doesn’t go through, our system will attempt to re-process it over several days. If it remains unsuccessful, we will contact you to update your payment method.
Q: Do you offer payment plans?
If you are struggling to pay your bill in full, please email [email protected] to inquire about payment plans. Payments need to be current in order to continue booking future sessions.
Q: What if I need to cancel or miss a session?
We require at least 24 hours notice for cancellations. Late cancellations or no-shows will be billed directly to you, as insurance does not cover these fees.
